Generative Artificial Intelligence Usage Policy

Policy Purpose

Medical Learning Institute, Inc. (“MLI”) recognizes the potential benefits and challenges associated with the use of Generative Artificial Intelligence (AI) platforms such as ChatGPT, Google Gemini, or other similar AI platforms using large language models (LLMs) to help us accomplish our mission. However, inputting data into AI or using AI generated content has the potential to trigger any number of data privacy risks, intellectual property violations, liability for reliance on inaccurate data, insurance coverage issues, and discriminatory claims, among other potential issues. This policy outlines the principles and guidelines governing the responsible and ethical use of Generative AI within our organization to address these inherent risks. While this policy is focused specifically on Generative AI given the heightened risks associated with such technologies, the criteria in this policy should be considered when using any AI based technology.

Guidelines for Use

  1. Suggested uses of Generative AI include the following, provided that any final product has been carefully edited and is substantively your own:
    • For general-knowledge questions meant to enhance your understanding on a work-related topic or to brainstorm ideas related to projects you are working on, but always verify accuracy and completeness with an outside reliable source.
    • To summarize meeting notes or transcripts of video conference calls, but only if the AI tool already has access to the content (e.g., using Zoom AI “companion to summarize a Zoom meeting).
    • To assist you with drafting an email or letter. Always fact-check AI-generated content, as it can be incorrect, misleading, or biased.
    • To create a draft policy, procedure, or best practice from which you will refine and edit in your own words to be appropriate for use at MLI.
    • To summarize online research or to create outlines for content projects to assist in full coverage of a topic for your internal use.
    • To create formulas for Excel spreadsheets, SQL statements for data queries, or similar programs.
    • To develop or debug programming code in accordance with MLI IT guidance. Code always needs to be tested and verified before deployment.

Modifications

MLI reserves the right to modify or depart from this policy at any time, with or without notice. Given that technology is constantly evolving, all users are expected to periodically review this policy and any subsequent updates.

Violations

Suspected violations of this policy should be reported to MLI. Any violation of this policy may result in disciplinary action, up to and including termination.
